If you manage appointment information with QuickBase, use this Outlook plugin to create an Outlook calendar appointment. The plugin reads a specific view in QuickBase that has a special Create an Outlook appointment field checked. The view contains all the name, address, and time information and those fields are mapped so that it knows what data to add to the Outlook appointment.

Getting started with QuickBase Appointment Creator

First, click the download button above and run the installation program. After you install it, restart Outlook, and there'll be a new menu option beneath the Tools menu labeled QuickBase Appointments. Now you are ready to schedule appointments! You can take a look at the sample appointments QuickBase if you want to practice with sample data.

If it turns out this plugin doesn't meet your needs, you uninstall it by going to the Control Panel, selecting Add/Remove Programs, and clicking Change/Remove next QuickBase Appointment Creator.

Known issue

There’s an issue with the tool that has to do with the way QuickBase reports information. What happens is that you might select a field to be included in the appointment, but the data for that field never shows up. The solution is to edit the view in QuickBase and make sure that all fields are shown in the Outlook Appointments View (or whatever you named it). Always use this special view to avoid creating duplicate appointments or having to manually deselect old appointments.

How QuickBase Appointment Creator came to be

This plugin solves a pain that we often encountered in the Innovation Lab. QuickBase is great for collaborative data creation, so we use it to schedule our customer visits, or as we call them, FMHs for follow me homes. The problem was in actually scheduling the visits: they can involve up to four people, we have to account for travel time to and from the visits, we might be in a different time zone... Cutting and pasting all the relevant information from QuickBase to Outlook was an annoying and error-prone process.

When trying to setup the program in Outlook 2007 I’m asked to sign on to QuickBase. I type in my correct QuickBase login and password yet it comes back with the following error message, “Object variable or With block variable not set”. Please help>
